Virtual Assistant

Responsibilities

  • Answer phone calls, send message Outlook meeting setup with agenda of items / action items from meeting minutes
  • Attend project Teams meetings for the purpose of taking notes and minutes in meetings and circulating to project team
  • Sorting comms in and downloading electronic files and distributing/saving to project server as required
  • Sending comms out and electronic file transfer of large files on behalf of management team
  • Respond to new business enquiries via email
  • Quote preparation and follow up
  • Setup project channels in different platforms such as Teams or Monday.com
  • Assist management team with creating Job schedules and assigning tasks to resources
  • Client database management in CRM
  • Reporting and analysis
  • Creative work with writing and media
  • Other administrative tasks and projects

Skill Requirements

  • Minimum of 1-2 years of experience as a Virtual Assistant
  • Experience in project, database, email, and calendar management
  • Skilled in the use of remote apps and technology
  • Proficient in MS Office (Outlook, Word, Excel, Teams), Adobe Acrobat, any Project Management and CRM tools
